Attendance sites

A site represents one place (for example a head-office main entrance, a branch, or a warehouse gate). Devices are assigned to a site when you register them.

Set up the places where employees record attendance under Settings → Attendance Sites. A site is a geofenced location that devices and the mobile app belong to, and every check-in or check-out is anchored to one.

Select Add Site and fill in the form.

Identity and status

  • Name: required. Use the name people recognize, such as “Main Entrance”. It shows on devices, reports, and resolution pages.
  • Site status: Active or Inactive. Inactive sites are struck through on the list and accept no new check-ins.
  • Description: optional. Note what the site is or where it is.
  • Select Site Groups: attach the site to one or more site groups.

Location and geofence

  • Location point: select Pick on map and place the pin. The form records the latitude and longitude. If the field already holds an address and the map resolves a different one, you are asked whether to update it.
  • Physical Address: required. The map pick usually fills it in, and you can edit it.
  • Timezone: the timezone the site operates in, defaulting to the organization’s. Shifts and attendance windows are interpreted in the site’s time, so set it carefully.
  • Geofence radius (in meters): required, up to 1000. This is the circle around the location point that decides whether a mobile check-in or a scan counts as inside or outside the site. Start small and widen it only if valid check-ins are being rejected.

Attendance behavior

  • Generate attendance numbers: leave this off unless the site needs to pre-number attendance records. When it is on, set First attendance number, which defaults to 1, and Excluded numbers for numbers that should never be assigned.
  • Early offset (in minutes): required. How many minutes before the scheduled start an employee can check in and still be on time.
  • Lateness time (in minutes): required. How many minutes after the scheduled start a check-in still counts as present before it becomes late.
  • Allow exit?: whether employees can record a check-out at this site. When it is on, set Exitable offset (in minutes), the grace period after the scheduled end during which an exit is allowed.
  • Allow on-site check-in (mobile app): when on, employees can check in here from the mobile app while their device’s GPS is inside the geofence, subject to their own permission in Self-service settings.

Select Save.

Each row carries the site’s name, description, active state, whether it generates attendance numbers, its address and city, and when it was last modified. Inactive sites are struck through.

  • Edit reopens the form.
  • Delete removes the site after a confirmation. A site still linked to devices needs those devices moved or deregistered first.
  • Edit changes the name, status, location point, geofence radius, or any attendance behavior setting. Existing attendance records are not rewritten, and the new settings apply from then on.
  • Deactivate sets Site status to Inactive, which takes the site out of check-in use and keeps its history. You can reactivate it later.

Site Groups bundle sites so that reports, devices, and schedule configuration can reference them as one unit, for example “West Africa branches” or “Head office entrances”.

  • On the Site Groups tab, select Add Site Group.
  • Give the group a Name and an optional Description.
  • Attach sites from the Select Site Groups field on each site’s form. The field takes more than one site.

The group list shows each group’s name and description, with Edit and Delete. Deleting a group does not delete the sites in it. They simply stop being grouped.

  • Mobile check-in: the site’s Allow on-site check-in (mobile app) setting decides whether check-in is possible there, together with the employee’s self-service permissions.
  • Devices: a device is assigned to a site when you register it, and its scans are attributed to that site.
  • Attendance resolution: the Needs Attention queue shows the site a missing or unresolved punch came from.
  • Ticketing: attendance support tickets are issued against an attendance site. See Ticketing.
  • Reports and logs: attendance and audit reports filter by site, and the Site filter also appears in Attendance audits and Device logs.
