Billing

Pay for Eban Register, add a module, or settle an unpaid invoice from Billing. The area holds the subscription your organization is on, the products attached to it, the invoices raised, and the payments made against them.

Open Billing → Overview. The subscription shows its status, one of Active, Payment due, Suspended, or Canceled, with three figures alongside it:

  • Plan: the plan you are on and how many products ride on it. It reads Custom when no bundle is in play.
  • Next renewal: the amount that will be charged, when it falls due, and what set that date, either an invoice number or a date carried over from your previous subscription. Where several products renew, each one gets its own line. It reads Nothing to renew when there is nothing to bill.
  • Employee seats: seats used against the plan’s limit, shown when your plan is metered by employees.

Two controls decide what happens at renewal:

  • Renew automatically: a switch labelled Renew automatically with, followed by the saved card’s brand and last four digits. Until a card is saved it asks you to pay online once and save your card to turn it on.
  • Pay now: appears while a renewal invoice is open, carries the amount due, and takes you to the payment. With nothing open the button reads Add products, which opens the Catalogue.

An organization that has never subscribed reads No subscription yet, with a Browse plans button that opens the Catalogue.

Every product the subscription carries is listed with its name and whether it is a bundle or a module, its quantity and unit (seats, or a dash for a flat product), its price, and what happens at renewal: Renews while it is unchanged, otherwise a badge naming the product it changes to, Removing at renewal, or the quantity that is coming.

Row actions let you change seats or flag a product for removal at renewal.

The Catalogue holds everything you can buy: plans, which are bundles, and individual modules.

  • Start free: take the free plan. Offered only to an organization that has never had a subscription.
  • Choose plan: subscribe to a paid plan.
  • Upgrade to this plan: move an existing subscription to a different plan.
  • Add: attach a module to the plan. Modules attach to a subscription, so an organization without one chooses a plan first.

The Invoices tab lists every invoice raised for the organization, with its number and kind, amount, status, the date it was issued, and its due date (a dash when it has none). An invoice’s kind is Purchase, Renewal, Added products, Seat change, or Adjustment. An organization with no invoices yet sees No invoices yet.

On a row, View invoice opens the invoice in a drawer, Download PDF saves a copy, and Pay now appears on an open invoice and takes you to the payment gateway.

  1. Open Billing → Invoices.
  2. Find the open invoice you are paying, and check its Due date.
  3. Select Pay now.

A renewal invoice can also be settled from the Overview with Pay now.

The Payments tab records what has been paid against those invoices: the invoice number and its kind, the amount, how it was paid (Card / Mobile Money, Bank transfer, or Cheque), the result (successful, pending, or failed), and the date. An organization with no payments yet sees No payments yet.

  • What each plan includes, and what every subscription state means for your workspace, is in Modules & subscriptions.
  • If you bill your own clients through outsourced-workforce suppliers, those bills are built and sent from Agency management.
  • If a menu you expect is missing, check Roles & permissions.
