Import employees in bulk

Moving your workforce over from another system, or adding a whole team at once? Don’t add people one by one, import them. From the employee list, select Add people → Add many people.

  1. Select Add people → Add many people on the employee list.
  2. Get your data in. Paste rows copied from Excel or Google Sheets, or upload a .csv, .xls, or .xlsx file. There is no template to download: you use your own column names, and together you and Eban Register work out what they mean.
  3. Check the columns. Confirm what each spreadsheet column stands for by mapping it to an employee field, then continue with the rows shown.
  4. Fix and import. Review the rows in the grid workspace, correct anything that needs attention, and onboard the ones that are ready.

Paste a copied range into the paste box with Ctrl+V or ⌘V, or drag a file onto the workspace and choose one. Whatever columns you have will do: the mapping step and your fixes fill in the gaps.

Confirm what each of your columns means by mapping it to an employee field. The continue button tracks how many of your rows are ready as you go. Nothing is saved yet.

Once the columns are mapped, your rows appear in a grid you can work through before anything is imported:

  • Set once for everyone. Use the defaults bar to fill a shared Department, Branch, Contract type, Date employed (plus Contract end date for casual or fixed-term intakes), Job title, Work group, or Pay rate, either for your selection or for every row missing that value. Anything the sheet supplied is kept.
  • Edit any cell, Skip a row, or Remove a row.
  • Create missing values on the fly. Add a department, branch, unit, or other value without leaving the workspace.
  • Filter the rows with the count tiles: Ready, Need attention, Would update someone, Onboarded, Skipped.
  • Select Check again to revalidate after your edits, Change column mapping to return to the mapping step, or Delete this import to discard the batch.

Select Onboard N people. The number reflects the rows that are ready. Eban Register then:

  • Creates employee records for each ready person.
  • Matches existing employees by identifying information and updates them instead of duplicating. The confirmation tells you how many “already exist and will be updated”.
  • Shows a Conversion Results window reporting what succeeded and what failed, so you can fix the failures and import again.
