Salaries, contracts & pay elements
Set what each employee is paid from Payroll → Manage Salaries, and the shared lists those contracts draw on from Payroll → Configure.
Manage Salaries
Section titled “Manage Salaries”All Contracts
Section titled “All Contracts”Every employee’s contract in one searchable list, showing the employee, salary type, pay group, amount, and branch, with badges for a primary contract, an inactive contract, and one linked to a contract plan.
Sort, filter, and export the list. View details opens a contract preview, and View contract opens the full record.
Reset Contracts batch-updates salaries from an uploaded Excel template. Plan-linked and inactive contracts are skipped, and a warning tells you how many.
The contract record
Section titled “The contract record”Opening a contract shows its type (Permanent, Fixed Term, Casual, or Intern), the employee, job title, and pay group, with four tabs:
- Details: the contract’s salary and terms.
- Pay Elements: the elements attached to this contract.
- Statutory: the employee’s scheme enrollment, rates, and overrides. See Tax & statutory setup.
- Tax Reliefs: the employee’s tax reliefs.
Toolbar actions:
- Set as primary: payroll, reports, and the employee’s job title all read the primary contract.
- Disable contract or Enable contract: a disabled contract is excluded from payroll runs, salary listings, and pay group assignments, while its record and end date are kept.
- Delete contract: permanent, and blocked while an active payroll run references the contract. Disable it instead to keep the history.
Salary Steps
Section titled “Salary Steps”Named salary amounts grouped into salary bands. The table shows the group, name, description, and amount. Search or filter by group, Add Salary, and Edit or Delete a step. Manage Groups maintains the bands themselves, and Bulk Increment applies a flat add, subtract, or set amount to many steps at once, after a confirmation.
Contract Plans
Section titled “Contract Plans”A contract plan is a reusable salary template. Linking a contract to a plan applies the plan’s salary type, rates, and terms, so many employees can be paid identically (for example, Drivers, Monthly Permanent).
Open a plan to see its linked contracts, then Add Contracts to pick active ones, leaving out contracts already on a plan, or Detach a single contract and Detach All to unlink the rest. Detached contracts keep their current values.
Plans can also be linked during employee creation and onboarding. The plan then manages those employees’ contract type, pay group, and salary settings.
Assigned Pay Elements
Section titled “Assigned Pay Elements”The pay elements actually assigned to each employee across the organization, showing the employee, the element name, its type and group, the name in bank, and the amount. Filter, search, and export the list, or select rows and Bulk Increment the amount across them at once.
This is also where you add a one-off element to an employee before giving it its amount in the run. See Run payroll.
Pay groups
Section titled “Pay groups”Pay groups define who is paid together and how. The table lists each group’s name, code, employee count, pay frequency (Weekly, Biweekly, Semimonthly, or Monthly), tax type, and whether it is the Default group. View contracts jumps to the contract list filtered to that group.
Creating a group asks for its name, code, pay frequency, tax type, and whether it is the default. Employees join groups through their contracts.
Pay elements
Section titled “Pay elements”The organization-wide catalogue of earnings and deductions. Each element has a name, a type (Earning or Deduction), a sub type (Rate where that applies), a default value, a tax treatment, and a category.
- Tax treatment reads Taxable or Non-taxable for earnings, and Before Tax or After Tax for deductions.
- Manage Categories keeps the catalogue organized, alongside Add Pay Element, Edit, and Delete.
- Elements are assigned to contracts on the contract’s Pay Elements tab or from the Assigned Pay Elements list. Elements configured as Rate are recorded in payroll with a value and a quantity.
