Leave reports
Open Leave → Leave Reports to see how leave is being used across your organization: how much each employee was entitled to, how much they used, what is left, and the adjustments made along the way.
The report library
Section titled “The report library”| Report | What it shows |
|---|---|
| Leave Summary Report | For a period: the days each employee was assigned, utilized, and has outstanding |
| Leave Snapshot Report | The same balance picture as of a single past or current date: assigned, utilized, outstanding, used rollover, remaining rollover, and unused balance. Pick any As of Date to see where the balance stood on that day |
| Daily Leave Report | Who is on leave on a selected date, and which type they took |
| Leave Balance Adjustments Report | Every admin adjustment: the date, the employee, the leave type, the reason, and the number of days adjusted |
| Leave Departmental Summary Report | Assigned, utilized, and outstanding leave, aggregated per department |
| Custom Leave Reports | Build your own report with the columns you need. See below |
Each report has an About this report link explaining what it contains, can be filtered by the usual employee groupings, and exports to Excel or PDF. Several reports also have a Show inactive leave types toggle.
Period and report controls
Section titled “Period and report controls”- The Leave Summary, Leave Balance Adjustments, and Leave Departmental Summary reports are year-based.
- The Leave Snapshot uses an As of Date, and the Daily Leave report uses a selected date on leave.
- Filters appear as removable chips for employee, department, branch, date range, leave type, and more.
Summary vs snapshot
Section titled “Summary vs snapshot”The Leave Summary Report totals a whole leave year. The Leave Snapshot Report rebuilds the same balance columns as of one date, so use it for period-end reporting, audit snapshots, or any “where did this employee’s leave stand on date X” question. Pick the last day of the period as the As of Date.
Custom leave reports
Section titled “Custom leave reports”- Choose from employee details, the request itself (leave type, dates, days, and reason), the full approval trail, day and request counts, entitlement and balance figures, and what the leave cost once a pay run has costed it.
- Drag the columns into the order you want, rename any of them, and add row totals.
- A custom report shows one row per leave request by default. Switch on Aggregate report for one row per employee, with a days taken, allocated, and remaining trio for each leave type.
- Because it lists requests, a custom report covers only employees who requested leave in the period. For unused entitlement, use the Leave Summary Report or the Leave Snapshot Report.
- Every report needs a date range, up to three years at a time. Save a report to re-run it later.
