Run appraisal cycles

The Appraisal Year area (Appraisals → Appraisal Year) is the working view for a specific appraisal year. It opens on the current year, and a year switcher at the top moves you between years.

Work through the year here: review results in Statistics, track submissions in Assessments and Pre-assessments, and manage what was assigned in Assigned objectives and Assigned competencies. Each tab is scoped to the selected year and can be filtered by appraisal window; the assigned tabs also filter by year and grouping.

The Statistics tab gives the year’s summary views, all filtered by appraisal window:

  • Status report: how many appraisals are in each state.
  • Bell curve: the distribution of scores.
  • Nine box: a nine-box grid plotting performance, commonly potential against performance.

The Assessments tab lists the appraisals that have been assessed. Each row shows the employee, when it started, the window (start and end month), and the manager.

The status column shows where the assessment stands:

Status Meaning
Pending final approval The employee and manager have completed their parts; awaiting the final approver
Approved by (<name>) Approved by the final approver
Rejected by (<name>) Rejected. Hover the info icon to see the rejection reason
(other statuses) Shown with underscores replaced by spaces

Actions per assessment:

  • View details: preview the appraisal in an on-screen viewer.
  • Print: send it to the printer.
  • Download PDF: download the appraisal as a PDF.

The Pre-assessments tab lists the objective and competency sessions set up for employees before scoring. Each row shows the employee, the number of objectives and competencies, the total weight of their objectives, when it was created, and a status badge, with a tooltip showing the HOD rejection reason if it was rejected.

Actions:

  • View details: open the session’s detail page.
  • Submit: submit the session’s objectives for the employee. This is disabled until the objectives weight sum reaches 100%, shown as the reason if it has not. When you submit, you can choose whether the self-assessment is optional for that employee.

These tabs list the objectives and competencies assigned to employees for the year. Each objective shows the employee, a shared indicator if it was shared, the objective or category, its weight, and, for Numeric Target Based rating, the target value and performance direction, plus the due date and when it was created.

You can create a shared objective or competency and assign it to many employees at once, so everyone gets the same item.

  • Add Shared Objective (or competency) creates one and shares it.
  • List of Shared opens a drawer of all shared items, where you can edit or delete them.
  • Edit on a shared row updates it. Deleting a shared objective removes it for all employees it was shared with, after you confirm.

A typical year for an admin:

  1. Make sure a window session is open for the year. See Configure appraisals.
  2. Assign objectives and competencies to employees, individually or shared.
  3. Employees and managers submit pre-assessments and assessments, mostly from Self Service; track progress here.
  4. Submit pre-assessments from the admin view where needed, and watch Statistics as results come in.
  5. Approve and review final assessments. Approval happens through the assigned final approver, commonly in Self Service.
