Configure appraisals
Configure Appraisals (Appraisals → Manage) is where you set up what appraisals are scored against and how scores are calculated: the windows and sessions, the categories and competencies, the weights and rating scales, and the approval matrix.
Appraisal windows
Section titled “Appraisal windows”The Appraisal Windows list shows each window with its start month, end month, and status (active or inactive).
- Add Window creates a new window; choose the Start month and End month that define the appraisal period, and whether it is active.
- Edit or Delete existing windows.
Categories and competencies
Section titled “Categories and competencies”This tab organizes the building blocks of an appraisal.
- Objective categories: a Category Manager panel lists the objective categories. Add, edit, and remove categories; objectives are grouped under them.
- Competency categories: a separate Category Manager for competency categories, also with add, edit, and remove.
- Competencies: the Competencies table lists each competency with its name and the domain (competency category) it belongs to. Add Competency creates one, and Edit or Delete are available per row.
Configurations
Section titled “Configurations”The configuration panel holds the settings that turn raw scores into an overall result. Select Edit to change them.
Assessor’s weight
Section titled “Assessor’s weight”How the employee’s score and the manager’s score combine:
- Employee’s score weight (%) and Manager’s score weight (%). These must sum to 100%.
Assessment’s weight
Section titled “Assessment’s weight”How the two assessment parts combine:
- Objectives weight (%) and Competencies weight (%). These must sum to 100%.
Rating scales
Section titled “Rating scales”Choose how performance ratings are displayed and calculated, separately for objectives and competencies:
- Star Rating or Numeric Target Based.
Score remarks
Section titled “Score remarks”Labels shown for ranges of completed appraisal scores. Each remark has a Score range (from and to, for example 80 - 100) and a remark label. Add, edit, and delete remarks, or Load default remarks:
| Range | Remark |
|---|---|
| 0 – 49 | Needs improvement |
| 50 – 79 | Meets expectation |
| 80 – 100 | Exceeds expectation |
Approval matrix
Section titled “Approval matrix”The Approval Matrix assigns a manager and a final approver to each employee. Rows come from the employee list joined to any existing matrix assignment.
The table shows each employee’s name and department, their final approver and manager, and whether the row is active or inactive. Each assigned value shows who it is and where it came from, whether set directly or derived from the department HOD or “reports to”. A missing value shows action required, with a tooltip telling you what to set, such as the department HOD or “reports to” on the employee’s profile.
- Edit a row to set the employee’s Manager and Final Approver individually.
- For bulk assignment, select multiple rows and use the selection toolbar: Set Manager picks one manager for all selected, and Set Final Approver picks one final approver for all selected.
Window sessions
Section titled “Window sessions”A window session opens an appraisal window for a specific year. Employees can submit appraisals only while the session is open.
The Window Sessions table lists each session with its year, window period (the window’s start and end months), status (Open or Closed), and when it last changed, which reads Closed <date>, Reopened <date>, or Created <date>.
Creating a session
Section titled “Creating a session”Use Add Window Session and choose the Year and the Appraisal Window, shown by its period, for example January - December. The year defaults to last year.
Opening and closing a session
Section titled “Opening and closing a session”- Close a session to stop employees submitting appraisals for that period.
- Reopen a closed session to let them submit again.
Related
Section titled “Related”- Use the windows, sessions, and assignments in Run appraisal cycles.
- The results are reported in Appraisal reports.
- Scores set here drive the Appraisal dashboard.
