Off-board an employee

Off-boarding ends an employee’s employment: their active contracts are ended and they are marked as off-boarded. You can do it now or schedule it for a future date, and if someone returns you can re-onboard them.

  • The employee’s active contracts end.
  • They are marked as off-boarded and move from the active list to the Off-boarded Employees list, unless a filter includes them.
  • A timeline event records it on their profile.

Start from the employee list or from the employee’s profile header.

  1. Open the row’s actions menu and select Off-board employee. From the profile, use the Off-board employee button in the header instead.
  2. Enter the off-boarding date.
  3. Enter the remark, the reason for leaving. It appears on the employee’s timeline.
  4. Select Save.

The date you choose changes the button and what happens:

Date chosen Button What happens
A future date Schedule offboarding The off-boarding runs automatically on that date. You can cancel or reschedule any time before then.
Today or earlier Off-board now Contracts end immediately and the employee is marked off-boarded. You can reverse it through Re-onboard.

While an off-boarding is scheduled:

  • The employee list shows an amber “Leaving {date}” badge next to their name. Hover it to see the date and remark.
  • Their profile shows an amber banner with the date and remark, plus a Manage action.
  • The row action becomes Edit scheduled offboarding.

From there you can change the date or remark, and re-saving reschedules it. You can also cancel the scheduled off-boarding entirely to keep the employee active; the form asks you to confirm.

To restore a former employee:

  1. Open the Off-boarded Employees list from the toolbar actions menu on the employee list.
  2. Select Re-onboard on their row. From the profile, use the Re-onboard action in the red banner instead.

After you confirm, the employee returns to the active list. You can still edit an off-boarded employee’s record before re-onboarding if you need to update their details first.

Because off-boarded employees drop out of default lists, many reports and lists offer an Include off-boarded option so historical figures stay complete. The employee’s own profile always shows that they are off-boarded.
