Modules & subscriptions
Eban Admin is organized into service modules. An organization subscribes to the modules it needs, and can subscribe to one or both.
The service modules
Section titled “The service modules”| Module | For | Covers |
|---|---|---|
| Employee Management | Businesses and organizations that employ staff | Employee records, attendance, work schedules, leave, overtime, payroll, appraisals, and reporting. |
| Membership Management | Associations, cooperatives, unions, and similar organizations | Members, events and meetings, member attendance, vitals, and reporting. |
Choosing a plan
Section titled “Choosing a plan”When you enter an organization that has no active subscription yet, Get Started at the top of the sidebar opens a welcome screen. Click Choose a plan to enter the Catalogue tab in Billing.
The catalogue lists the plans and the individual modules. Choose a plan first, because modules are added to a subscription:
- Start free: take the free plan. It is offered only to an organization that has never had a subscription.
- Choose plan: subscribe to a paid plan.
- Upgrade to this plan: move an organization that already has a subscription to a different plan.
- Add: attach an extra module to the plan.
After you subscribe, the areas the plan covers appear in the sidebar.
Subscription states
Section titled “Subscription states”| State | Meaning |
|---|---|
| Active | In good standing. The workspace is fully usable. |
| Payment due | An invoice is unpaid past the end of the period, but the subscription is still inside its grace window. Access continues while a banner asks for payment. |
| Suspended | The grace window has run out, or an administrator suspended the subscription. The workspace is replaced by a suspension screen, and only Billing stays reachable. Paying the open invoice restores access straight away. |
| Canceled | The subscription has ended and is out of the suspend and reactivate cycle. Extending the period is what brings the organization back. |
How subscriptions interact with permissions
Section titled “How subscriptions interact with permissions”A granted permission works only when the organization subscribes to the module that contains the feature. This applies to the Owner too. See Roles & permissions.
When you configure an administrator’s access, features from an unsubscribed module cannot be selected at all.
Features that do not need a subscription
Section titled “Features that do not need a subscription”Some administrative features are available regardless of module subscriptions, including:
- Users and access management
- Audit logs
- Holidays
- Notification management
- System alerts
- Attendance sites and the organization profile
The data these manage is often produced by the subscribed modules, but the areas themselves remain usable.
Keeping subscriptions healthy
Section titled “Keeping subscriptions healthy”- Keep active subscriptions up to date, so features remain available and employees are not locked out of their own.
- Renew or change the plan from Billing → Catalogue when an invoice is unpaid or the subscription is suspended.
- Review your plan, renewal date, and payment details in Billing.
- If you believe a subscription status is wrong, contact your organization’s administrator.
